Before launching a digital guest communication tool, decide which channels the team will use, which answers are approved and what happens when a message creates hotel work. Use those decisions to choose the tool and prepare its rollout.

GuestNesty guest communication software handles configured communication, approved property knowledge and escalation. Staff decide, authorize and carry out the action when a request affects a room, payment, policy or physical service. Libar hotel operations software manages the operational task, record and follow-up when that work is needed.

Design channels around the guest journey

Map communication before booking, before arrival, during the stay and after departure. For each stage, record:

  • The enabled channel
  • The responsible team
  • The expected response time
  • The point at which automation must stop

Confirm provider access, permissions, templates and escalation behavior before marking a channel as live. A configured channel is not automatically available to every property.

Separate an answer from an action

Parking instructions can use an approved answer. An early check-in request needs availability, room readiness and staff judgment. The communication tool should gather the context and pass it to the responsible person without promising the outcome.

Use guest communication suite architecture to define responsibility across several channels, systems and departments. Identify each product's role in that process.

Define message-to-action rules

When a message creates work, record enough information for another person to continue without reopening the whole conversation. Include at least:

  • Guest, reservation or room context
  • The request in clear language
  • Urgency and the guest's expectation
  • The assigned person or responsible role
  • Current status and next action
  • A deadline or next review time
  • The response still owed to the guest

This defines the workflow to implement. It does not establish that GuestNesty contains a complete native hotel task-management system or automatically transfers requests. Staff remain responsible for decisions and completion.

Make unresolved work visible at shift handover

Keep open guest promises, blocked rooms, pending approvals and replies still to be sent in the reception handover. Use the operational record to track that work and the message history to explain what the guest requested.

During a hotel reception software evaluation, test the full sequence: message, clarification, assignment, operational decision, completion and final guest update.

Review risk before choosing a tool

Check for these red flags:

  • Automatic promises without staff approval
  • Unclear channel availability
  • No visible handoff state
  • Weak access controls
  • Reports that count messages without showing unresolved service risk

Use the small-hotel communication app selection guide and hotel software buying checklist to assess those risks before comparing feature counts.

Use a four-week implementation plan

Week 1: collect real messages

Group recent questions by guest-journey stage, channel, urgency and whether they required staff action.

Week 2: prepare approved answers

Write short, current answers with an assigned owner and review date. Resolve conflicting information before automation begins.

Week 3: define handoff and ownership

Agree which situations stop automation, who receives each case and which information must accompany the request.

Week 4: test real scenarios

Test routine questions, missing information, dissatisfied guests, money-related requests, late arrival and room problems. Check that every unresolved case remains visible until a person closes it, including when staff are working under pressure.
