Test hotel reception software with several problems happening at once: arrivals and departures, a room awaiting inspection, an unpaid balance and unfinished guest requests. A small hotel needs to see whether staff can manage that day and hand over the work that remains open.

Use this guide to evaluate the category. For current product capabilities and commercial details, consult the Libar hotel operations overview in the Temelj ecosystem.

Start with the decisions reception makes

Before the demo, list what the first shift needs to establish: who arrives and departs, which rooms are ready, what is unpaid, which requests remain open and what must reach the next shift.

Use a front-desk handover checklist to identify the records the software must keep. Agree the distinction between clean, inspected, blocked and ready through a room-status workflow.

Run a realistic busy-day demo

Ask the vendor to demonstrate one scenario containing all of the following:

  • several arrivals and departures
  • an early check-in request
  • a room still awaiting inspection
  • an unpaid balance or invoice request
  • a maintenance issue affecting room readiness
  • a guest promise that remains open
  • a shift change before every issue is resolved

Follow the exceptions through. For each unresolved item, establish who can approve the next action, who sees the blocker, what is recorded and how the next employee knows what to do.

Test arrivals and early check-in

Find the reservation, expected arrival time, assigned room, current room status, payment context and special notes. Then check how staff decide whether early access can be granted. A request must not become an automatic promise.

Test departures and unpaid balances

Check that reception can see the planned checkout, any late departure, folio or invoice details and outstanding balances. Confirm how authorized staff resolve those balances before closing the stay.

Check who owns the next action

For an open task, find the person responsible for the next action, its status and the next review time. Use a hotel software buying checklist to assess coordination between housekeeping, maintenance and reception without relying on staff memory.

GuestNesty guest communication software can provide approved answers and escalate requests to staff. Reception staff decide what action is needed and complete the operational work. Do not assume the two products automatically transfer requests or create tasks.

Inspect shift handover

Before the demo ends, ask another employee to take over. Check whether the incoming shift can identify room issues, outstanding guest promises, balances, approvals and blockers from the reception records, without searching an external chat history.

Evaluate adoption and setup discipline

Confirm how rooms, users, roles, taxes, documents, statuses and required integrations are configured. Review training, checks on migrated data, access control and the process for correcting incorrect records.

Identify who maintains each workflow and updates statuses during a busy shift. Choose a process the team can sustain under pressure; unclear responsibility or missing updates will leave work unfinished even in capable software.
